Terms of Engagement | 2025

Thank you so much for being part of the VIVID STRINGS team! By accepting work with us, you agree to the following terms of engagement.
If you have any questions, concerns, or special requests, please don’t hesitate to reach out — I’m always happy to help!

Invoices & Payment

  • Payment will be made within 2 weeks of the event. Occasionally, due to circumstances outside of my control (especially when waiting on client payments), this may extend to a maximum of 4 weeks — thank you for your patience and understanding.

  • Invoices submitted more than 6 months after the performance date will unfortunately be considered invalid, so please invoice in a timely manner.

  • You are responsible for your own income tax obligations related to this engagement.

  • If you are registered for GST, please ensure it is clearly included on your invoice.

  • You will receive 12% Super (July 2025 - June 2026) on top of the fee stated in the booking offer. This will be processed each financial quarter and does not need to be included on your invoice.

Professional Conduct & Etiquette

While performing, you represent VIVID STRINGS as part of a professional ensemble.
Please help uphold our friendly and polished reputation — your cooperation is truly appreciated!

  • Dress code will be confirmed with each offer of work. Unless otherwise specified, attire should be very elegant black: knee covered when seated, heels preferred for ladies and polished black formal shoes for gents, and no visible logos. Hair and makeup done.

  • If offered alcoholic drinks, feel free to enjoy one during your break — but please don’t take drinks home or consume alcohol before or during the performance.

  • Keep your performance area neat and transitions between pieces as seamless as possible.

  • Please bring a black music stand, not a coloured one, unless otherwise specified in the booking form.

Withdrawing from a Performance

  • If you need to withdraw from a confirmed booking, please notify me as soon as possible and, where possible, suggest high-calibre, reliable replacements. Advance notice helps ensure a smooth handover and keeps everyone’s experience stress-free.

Overtime, Cancellations & Postponements

  • Your performance fee includes up to 10 minutes of overtime, just in case things run a little behind on the day. If the event runs over by more than that, you’ll receive $50 for every additional 15 minutes of playing time, rounded up. Please take a photo of the time and let me know after the gig.

  • If a client cancels or postpones a performance within 1 week of the scheduled time, you will receive full payment.

  • For cancellations outside of that window, no payment is due unless otherwise arranged.

  • If a performance is cancelled or postponed due to a pandemic or Public Health Order, a 50% fee will be paid.

  • In the event of a postponement, I’ll check in with your availability for the rescheduled date before confirming with the client.

Marketing & Social Media

  • It’s always appreciated when you help us build the VIVID STRINGS profile! If you're able, please send a few behind-the-scenes or group shots from the gig (before or after the performance is fine) for use in our promotions.

  • Feel free to share or repost anything from our social media — just make sure to credit VIVID STRINGS (@vividstrings) and the photographer, if known.

  • Please don’t use VIVID STRINGS images to promote other events or organisations.

  • If you’re tagged in a post and you’d prefer not to be, just let me know — I’m happy to untag or remove it. You can also request not to be tagged at all in advance.

Insurance & Instruments

  • Please ensure your instrument and personal belongings are insured, as VIVID STRINGS cannot accept liability for damage or loss during an engagement.

  • Check that your instrument insurance is current and valid for live performances.
